1. What we collect

When you submit a service-request form, we collect:

• Name
• Phone number
• Suburb / service area
• Description of your HVAC problem

When a call is placed through our tracked numbers, we also collect:

• Call time and duration
• Call recording (when recording is enabled)

We do not collect payment information from homeowners. We do not knowingly collect information from children.

2. How we use it

• To connect you with a licensed HVAC contractor for your request.
• To operate and measure the referral: counting calls, verifying call quality, and resolving billing questions with the contractor.
• To improve the directory and respond if you contact us.

3. Who we share it with

• The assigned contractor only. Your request details go to the single licensed HVAC contractor we connect you with, so they can call you back about your request.
• Service providers that operate the site and call tracking (hosting, call-tracking platform), under their own privacy terms.
• As required by law (court order, legal process).

We do not sell your personal information. We do not share your request with additional contractors without your fresh consent.

4. Consent to be contacted

By submitting the form, you agree that DFW Cooling Pros and the licensed HVAC contractor we connect you with may call or text you about your service request at the number you provided. Submitting is not a condition of purchase. Calls may be recorded for quality and billing verification.

To opt out of texts, reply STOP. To ask us to stop calling, contact us at privacy@northtexascooling.com.

5. Call recording

Calls placed through our tracked numbers may be recorded for quality assurance and billing verification. You will hear a notice before the call connects.

6. Data retention

• Request records: kept 24 months for dispute records, then deleted.
• Call recordings: kept 12 months for billing disputes, then deleted.

7. Your choices

• You may ask what information we hold about you, ask us to correct it, or ask us to delete it, at privacy@northtexascooling.com. We will respond within a reasonable time.
• Deletion requests do not apply to records we are required to keep for legal or billing-dispute purposes.

8. Security

We use reasonable administrative and technical measures to protect your information. No system is perfectly secure.

9. Changes

If we change this policy, we will post the updated version here with a new effective date.
